Within Engage, there are several options for auto-tracking emails that can be set up within Personalization Settings. As these are personal settings, these options can be modified by the individual user. While there are options to turn on auto-tracking of emails, Salentica recommends manual tracking of emails you want to track in Engage. See this article for more on our recommendations. First, select the Settings icon and then select Personalization Settings.
Under the Email tab, you will see the tracking options under Select the email messages to track in Microsoft Dynamics 365.
There are five options for tracking emails. A tracked email will create an email activity on the correlating record in Engage.
- All email messages
- This option tracks all email messages to Engage. If you select this option, Engage will track junk mail and possibly personal conversations as well as business conversations, so we do not recommend this option.
- Email messages in response to Dynamics 365 email
- This is the default option. Only email messages in reply to emails that are already present in Engage will be tracked as email activities.
- Email messages from Dynamics 365 Leads, Contacts and Accounts
- Only email messages with a sender that have a matching Lead, Contact, or Relationship within Engage will be automatically tracked to Engage as email activities.
- Email messages from Dynamics 365 records that are email enabled
- Email messages sent to records that are email enabled in Engage will be tracked. Messages from any record that resolves to an email address in Engage are tracked as email activities.
- No email messages
- No email messages the user receives are automatically tracked to Engage as email activities.
Things to Know about Email Tracking
When a user tracks an email manually through the Track or Set Regard buttons in Outlook, the email will show as created by the user in Engage. If any of the auto-tracking options are selected, the Created By field will show as SYSTEM.
To ensure that users are not auto-tracking emails, their Personalization Settings should be set to No email messages, and the firm's CRMPlus Solution must be updated to the most recent version.
