In Engage, Word templates enable users to generate standardized documents such as letters, invoices, and reports directly from Engage data. Word templates provide a way to merge data from Engage records into predefined Word documents, empowering users to create consistent and professional documents quickly and easily.
However, suppose a user is unable to access or create Word Templates because the option is missing from the Ribbon Menu. In that case, it is best to check the user's security privileges. The user needs access to the Document Template, Personal Document Template, and the Document Generation privileges to access Word Templates. If the user is missing any of the three privileges, follow the instructions below to add these privileges.
1. Click Settings > Advanced Settings
2. Click the drop-down next to Settings and under System, select Security
3. Select Security Roles
4. Select the role you would like to edit
5. Click the Business Management tab
6. Select Document Template to set access for templates available to the entire organization. Select Personal Document Template for templates shared with individual users. Select Document Generation to extract customer data from the CRM
7. Click the circles to adjust the level of access to match the image below
8. Click Save and Close
Any users with the security role you updated should now see the Word Templates option in the ribbon menu.
